Frequently Asked questions

1. How do I fix the citation when I have an organizational name as author?

In your EndNote library, open the reference in Edit view and add a comma after the entry in the author field to differentiate the organizational name from a person. Save the reference. When in Word, select Update Citations and Bibliography.

2. I cannot directly import a citation into EndNote on my MacIntosh computer.

Use Firefox or Chrome rather than Safari.

3. Whenever I insert page numbers (or open a document that has page numbers) it automatically enters this formula: {page \* MERGEFORMAT}.

Go to the File tab, then to options, then to advanced options, before clicking Show Document Content, Unselect the box labeled "Show field codes instead of their values"

3. Changes I make to Citations and the bibliography in my Word document get overwritten by EndNote.

Manually typed changes will be lost when you close out of your document. Never manually edit citations or your reference list - it can cause complications with your library and document. To edit in-text citations you must use "Edit & Manage Citations" in the Toolbar.

  • If you are entering a prefix or suffix, you will need to include any spaces or punctuation. EndNote only displays text (or spaces) entered in these boxes. If you are adding page numbers, enter numerical values only (no 'p' or commas).

If the edits you need to make are not possible through the 'Edit Citations' tool or by modifying the output style, make a backup of the document that contains the EndNote coding, then ''Convert to Plain Text''. The location of the command may differ in Mac or PC toolbars. Even though the option is called plain text, style formats, such as italics, will not be removed. This should only be attempted when you are finished working with EndNote. Removing the field codes cuts the link between EndNote and Word, so subsequent adding or removing citations will not update your bibliography.

4. I have changed the output style in EndNote, but the style in my paper reverts to Annotated or another style I didn't choose. 

The style set in the EndNote menu within the Word document is always the stye that will be used by Word. Change it in the Word toolbar.

6. How do I change the spacing or font in my bibliography? 

Use the Configure Bibliography panel. Select the 'Layout' tab and make the desired changes. The location may vary for Macs vs PCs

7. How can I create chapter bibliographies? 

For chapter bibliographies to appear, first insert section breaks as you like them in Word. Each section will be a chapter. Then make changes to the Style being used by editing it in EndNote output styles. Click to go to the Clarivate site for detailed instructions.

8. My journal names are not coming out as capitalized?

If the database sends EndNote the name of the journal in sentence case rather than title case, editing the record in EndNote will not stop the journal appearing with the wrong capitalization in your Word document. You can either fix this in the Library record and select Update Bibliography, or change the Journal Terms List.

Library tab > Open Term Lists > Journal Terms List > Highlight the journal name > Edit Term... > Edit the journal name in the top box (Full Journal:) > OK Close

9. How do I make smart quotation marks in my EndNote formatted reference list?

Edit the record in your your EndNote Library using smart quotes, and then use "Update Citations." If this does not fix it, you can edit once you are done formatting your document. Go to #3 above and look at "If the edits you need to make are not possible through the 'Edit Citations'..."

 

Library Sharing Issues

If the Share feature is not working, sync your library.

  • Share depends on sync services to work, so this means that you cannot create a different, un-synced, library version to share.
  • The most comment method is to share libraries. If you need to share a group, follow these directions from Clarivate or click the "EndNote Online" section of this LibGuide.

Reset Online Library and Sync

If you have several libraries, syncing them to the same EndNote online account will merge the references. All libraries, will have the same references. Groups will always show only the reference you place in them, regardless of the number of total references in the library.

To change the EndNote Online account that your library Syncs to, or to repair Syncing, follow these directions.

Before attempting the procedure below, back up your library!

  1. Open EndNote >click on Edit>Preferences>Sync. Disable all automatic syncing and then restart EndNote.
  2. Make sure the Trash is empty both in EndNote online as well as in EndNote desktop. For EndNote online,
  3. Log into the library you want to use to confirm the credentials and contents. Whatever is in the online library will be merged with your client unless deleted and trash emptied.
  4. In EndNote desktop, Open EndNote>Edit>Preferences>Sync. Add this to the end of your E-Mail Address in the sync preferences: 
    #!resetLocalSync

    Note! This is Case Sensitive -- resetLocalSync not “resetlocalsync". 
  5. Click OK to close the preferences, and then click the Sync button.
  6. EndNote will then appear to authenticate and return the prompt: “A Sync library can be linked to only one account. Do not proceed unless you intend to break the link to the original account.” This happens because EndNote is checking authentication. Click OK, and EndNote will purge any knowledge of a previous sync.
  7. EndNote will then display the message, “Your local sync state has been reset. Please re-enter your E-Mail Address, restart EndNote, and sync again.” Click Ok.
  8. Close EndNote and open it again. Close all libraries then open the library which you'd like to sync with EndNote online.
  9. Again go to your sync preferences; enter your username/password and setup automatic sync settings. 
  10. When you next click Sync, you will once again get the message “A Sync library can be linked to only one account. Do not proceed unless you intend to break the link to the original account.” Click OK.
  11. You will be prompted to make a backup. While this step is not required, it never hurts, follow the onscreen prompts to backup.
  12. A complete sync will then begin. 

WORD: Compatibility

EndNote will not work with the online version of Word 365, or any other online version.

WORD: Curly Brackets

Problem: In-text citations show curly bracket, and are not in your requested style.

Check to see if the Instant Formatting option has been turned off

Using Old X9.2 32-bit libraries

You can convert libraries from the old 32-bit EndNote versions (EndNote X9.2 and earlier)

In your new EndNote, go to File → Open Open Library and select the old library file you wish to convert. EndNote will create a new library with "-Converted" in the name and leave the original library unchanged.

  • If you had a package library (.enlp file) that never converted or didn't open, just open the package and convert the .enl file.
  • Use your right-click or secondary menu command with the .enlp file highlighted.
  • Select "Show Package Contents"

The package is made up of the .enl and .data files.

Note the location, and return to EndNote to select the .enl file to convert. You may move the .enl file from the package if you wish, but you must move the .data file with it. The two files must always be in the same folder location for EndNote to work properly.
