Guide for EndNote citation management users

Et al is not working

In APA format, references with three or more authors list the first author in an in text citation, and then use et al. If you are using Word and getting citations with the first author, but et al does not follow, try this:

1. Identify a sample reference that is not formatted correctly.

2. Go back to the EndNote program and look at that reference in Edit view. You can get to the record by selecting "Edit and Manage Citations" in Word, and clicking the Edit button. The record will go back to the EndNote Program.

3. Look to see if each separate author is on their own line. If not, you can fix it manually. If you have many records that need to be fixed, or need to check many records, go to step 4 to see how to let EndNote fix it automatically. If the authors are in separate lines but et al is not working, try checking the et al settings in your style. That is the next box on this guide.

4. To have EndNote Edit it, right-click on the reference in the EndNote program and select Find Reference Updates.

5. EndNote will find a record with the authors listed in the proper format. You have the option to update all fields, or you can copy/paste the correct formatting into the field. When the field is corrected, click Save and Continue.

6. EndNote will give you a confirmation screen. Click OK.

7. Go back to the Word document and select Update Bibliography. Once you've updated the Word document, you should see et al in the in-text citations.

 

 

Check your Output Style Settings

If your references are properly formatted and the et al feature is still not working, go into your output style and check it's setting. To do this, follow these steps:

1. Go to Output Styles > "Edit APA 7th"

2.Navigate to Citations > Author Lists. APA 7th style should look like the settings below, with the radial buttons for "if" selected. You'll need to go to File > Save if you've made any changes. If you are not given the Save option, you can select Save As and overwrite the current APA 7th style, or make a renamed copy.

To install a style file:
  1. Download the file for the style you require.
  2. Browse to the location on your computer where you downloaded the style.
  3. Double-click on the style file to open it.
  4. The style should open in EndNote.
  5. In EndNote, go to the File menu and select Save as.
  6. Click on the Save button.

You should then be able to select your style by going back to Word and using the drop-down Style menu to Select another style. You should now be able to see your style in the list and to select it.

 

When do I need this?

If EndNote is not converting database records that have the up-and-down casing (like MLA) to APA casing. APA casing is the first letter of an article title capitalized, but the subsequent words are lowercase. This download should in most cases fix the database errors; however, if the record has a title in ALL CAPS, edit the title in your EndNote Library record.Make sure each author is on a different line.

Even with this EndNote style, it's always a good idea to go through and do a final proof at the end of your writing process.You should always become familiar with the basic rules of any style that you use.

At the end of every project, you may want to make two copies of your document, one with the EndNote coding, and one converted to plain text so you can easily make any minor final style or formatting adjustments yourself. Also, many journals will need the EndNote coding removed on submission, so this can be a natural step in your process.
